Terms of Service

The agreement between us, in plain language. Last updated 4 August 2026.

1. Who this agreement is between

These terms are between PILOS Point of Sale ("PilosPOS", "we", "us") and the business that opens an account ("you", "your shop"). They apply to the website at www.pilospos.com, the PilosPOS mobile app, and the desktop till.

By creating an account or using the software, you agree to these terms. If you are agreeing on behalf of a company, you confirm you are allowed to bind it.

3. The free trial

New shops get 14 days free, with every feature included. No card is required and nothing charges automatically. When the trial ends the till stops accepting new sales until a payment is confirmed — your data is not deleted and stays exactly as you left it.

5. Refunds

Subscription fees are not refundable for time already used. If we take money in error, or bill you twice, tell us and we will put it right — either as a refund or as credit against your next month, whichever you prefer.

6. Your data belongs to you

Every product, sale, customer and figure you enter is yours. We hold it so the service works, and we do not sell it, rent it, or use it to advertise to you or your customers. How we handle it is set out in our Privacy Policy.

You can export your data from inside the app at any time. If you close your account you may ask us for a copy, and we will provide it in a machine-readable form.

8. Availability

We work to keep PilosPOS running, but we do not promise uninterrupted service. Maintenance, network faults, power cuts and problems at our hosting provider all happen. Where we can plan downtime, we will tell you first.

The till is built to keep selling while the internet is down and to sync when it returns. That is a safety net, not a guarantee — keep your own backups of anything you cannot afford to lose.

9. Support

Support is by phone, WhatsApp and email during Namibian business hours, included in your subscription. We answer as quickly as we can and do not promise a fixed response time.

11. Liability

PilosPOS is provided "as is". To the extent the law allows, we are not liable for lost profits, lost sales, lost data or business interruption. Where we are liable, our total liability is limited to what you paid us in the three months before the claim arose.

Nothing here limits liability for fraud, or for anything that cannot be limited under Namibian law.

12. Your responsibilities

You are responsible for the accuracy of what you enter and for meeting your own legal obligations — VAT returns, invoices, employment records and keeping the books. PilosPOS calculates VAT at the rate you configure; it is a tool, not tax advice, and it does not replace an accountant.

13. Changes to these terms

We may update these terms. Material changes will be announced in the app or by email at least 30 days before they take effect. Continuing to use PilosPOS after that means you accept the new terms.

14. Law

These terms are governed by the laws of the Republic of Namibia, and the Namibian courts have jurisdiction over any dispute. Before going to court, please talk to us — most problems are a misunderstanding and a phone call fixes them.
